  1. What sets RoutePoint apart from all other packages in the industry?

  2. There are two main points here. The first is that this is the first totally new software development in our industry in almost five years. So in addition to finally being able to put in this package all of the features that our industry has desperately needed for so long, we have taken full advantage of the technology available today to run your business as you will need to in the age of the Internet. There is a long list of breakthrough features and improved methods of doing business in RoutePoint that just aren't available in other packages.

The second point is that it is web-based. In fact RoutePoint is the first and only web-based software available in our industry. You have heard boasts that a software package is DOS or Windows or 16 bit or 32 bit. Well web-based software makes all of those claims obsolete. This is the direction that all software is going as demonstrated by Intuit Software's recent release of a web-based version of QuickBooks and Microsoft's repeated commitment to deliver web-based versions of their popular Office software in the near future.

Additionally, no other enterprise office management software has GPS-powered (Global Positioning System) vehicle tracking, wireless accessibility, and routing and mapping so tightly integrated into the software like RoutePoint. These technologies allow you to print a map the shows any technician's route for the day complete with a description and duration of each stop the technician made that day, mobilize your technicians and salespeople with affordable wireless handheld devices, and optimize a technician's best route for a day, week, or month of scheduled service orders.

Being web-based actually has nothing to do with the Internet. Rather web-based has more to do with the technology used to develop the software. This technology means that everything - all of the software and all of the data - originate and stay on the server in a system. It also means that even though the software and data stay on the server, there is very little strain on the server since there is not a copy of the software running for each user on the system. With web-based software you can have hundreds of users on the system and the only activity the server sees is when one of the user workstations makes a request for data or that individual request is processed. That results in a dramatic increase in performance compared to companies that are trying to run Windows-based software using a terminal server configuration. A single server can handle significantly more users with a web-based software system than in a terminal server environment.

This technology makes all the best things possible that you want in a software system. For large multi-branch companies it means that for the first time you can have the features and ease-of-use of a PC software in a system that has all of the data on one server. That's right, no tedious data transfers to run company-wide reports or have centralized customer payment entry.

For companies that operate out of a single location but might have ten, twenty or more computers accessing the system it means that you don't have to purchase and install complicated software on each workstation on your network.

And for smaller companies that have one or several computers, it means that you don't have to purchase the software at all. You can pay for it on a subscription basis and run it off of our server. Imagine always having the latest version of the software, no costs for buying, installing and maintaining a file server, and never having to worry about backing up your data - we do it all.

We have brought the best technology together to deliver a long list of breakthrough features that will revolutionize the way you manage your company. With features like route mapping, route optimization, remote wireless handheld access, and GPS vehicle tracking, the focus is on efficiency in the office and efficiency on the road.

  3. I understand that RoutePoint was developed using the latest software technology available from Microsoft. Can you elaborate on the technology used?

  4. RoutePoint was developed according to the Microsoft Distributed Internet Network Architecture (DNA) methodology using Microsoft SQL Server as the database engine, Microsoft Visual Basic as the programming language, and Microsoft Active Server Pages as the presentation language. This is the same technology that drives some of the most active commercial web sites on the Internet that serve thousands of simultaneous users.

  5. Is RoutePoint expensive?

  6. No. Existing DOS and Windows solutions require a copy of the software for each office and then additional licenses for each user. Since RoutePoint is run with a central database, you buy just one copy of the software even if you run a multi-branch office. This results in tremendous savings for large companies for both the purchase of the software and the annual software maintenance costs.

Now for the first time we can offer this powerful enterprise software to even the smallest company through RoutePoint. No need to purchase the software or even a file server. Just sign up for RoutePoint Online Edition.

Finally, web-based software means there is no software to load and install on each workstation. That results in a huge cost savings for maintaining and upgrading your system.

  7. What are some of the features that make RoutePoint the best solution for multi-branch companies?

  8. Prior to web-based software, there was no good way to run PC-based software between two offices. RoutePoint lets you keep all of your company data on one server. With the proper access rights, anyone in the company can connect to the system without installing any software on their local computer. That means a branch office can be opened with a PC and a simple Internet connection. If you don't want to use the Internet, you can also run RoutePoint between offices using conventional leased lines. You can set up users to see all data in the system, or just the data for a single branch or selected branches. Reports can be run for one branch or sorted and subtotaled by branch. Having centralized data makes it easy to bring tasks such as payment entry, posting, mailings, or call center operation to any office in the company.

Additionally, RoutePoint was developed to handle the largest companies in the industry using the most powerful software technology available from Microsoft featuring Microsoft SQL Server as the database engine.

Because RoutePoint is web-based rather than Windows-based, there is no need for the expense and limitations of setting up a Windows terminal server environment. That presents substantial performance benefits and tremendous cost savings.

RoutePoint also features office reports and GPS vehicle tracking system - perfect for customer service representatives and technicians working out of remote offices who may not be working with the same level of management as the main office.

The reports and GPS vehicle tracking system help monitor activity of staff in and out of the office. For example, the activity log tracks all activity of the employees in the office while the GPS Vehicle Tracking System tracks activity in the field.

  9. I understand that RoutePoint is the perfect solution for a multi-branch company, but what if I only have one office?

  10. RoutePoint is the right solution for every office. It features the fastest and most powerful search engine in the industry to quickly locate a customer account. There is a nation-wide address database that automatically completes the address when adding a new customer. It tracks every activity by every user in the system complete with a report that can tell you every action by any user in any date range or tell you when and what was done to any particular customer account.

The software is completely email-enabled so you can email statements, renewals, and newsletters to any account that has an email address on file. There is integrated and self-maintainable company web site software that lets you update and change the design of your own web site at any time. You can even give an individual customer access to account information online.

Other features such as automatic links to maps and directions for each account, powerful gain and loss reporting, advanced renewal management capabilities, bar-coded forms, dollar per hour profit and productivity tracking by account and technician, and anywhere-anytime access make RoutePoint the clear choice for every professional pest management company.

  11. What if I don't want to run my software using the Internet?

  12. That's fine. RoutePoint will run on your existing network. It's your choice whether or not you want to make it accessible via the Internet. If you are not using the Internet, you can connect offices using private leased lines.

  13. How does RoutePoint restrict access?

  14. RoutePoint has several levels of security. First you can restrict access with a Windows 2000 user account and password as you would now on any network. Secondly, you can set up access templates that restrict the data and features a particular user has access to in the system. Since each computer on a network or on the Internet can be identified by a unique IP address, you can restrict from which computers each user can access the system by designating either an individual or a range of allowable IP addresses. Finally, RoutePoint tracks the date, time, activity, and computer address of every action by every user on every account in the system.

  15. What does email-enabled mean?

  16. In RoutePoint you can set up an account to receive printed correspondence, emailed correspondence or both. For example, you can set up an account to receive renewals, service notifications, statements, letters, newsletters and more via email. The email capabilities are live and real-time. It's as easy to use as printing a document. There's no need to run tedious email routines to get email to work. Only web-based software makes it so easy.

  17. Do I really need a software package that is email-enabled?

  18. Yes. Business correspondence is moving away from traditional mail and phone methods and moving to email and Internet-based methods. As email becomes the primary means of written communication with customer accounts, it will be essential to have an office management software system that is totally email-enabled. Imagine sending out your renewal notices without doing any printing, folding, stuffing, sealing, and postage stamping. You can even include a link back to your web site for the customer to easily pay for the renewal.

  19. RoutePoint comes with integrated web site software. What if I already have a web site?

  20. Although you don't have to use the optional web site software that comes with RoutePoint, the fact that the web site is self-maintainable and integrated with the accounting software makes it a perfect solution for giving your company a presence on the Internet. If you already have a web site that you want to keep, we can work with your web designer to create a customer access feature that connects to your RoutePoint data. By purchasing RoutePoint, you get the most powerful and effective web site available for your business for a fraction of what you would pay a web designer.

  21. What is the advantage of the RoutePoint web site software compared to the web site I already have?

  22. There are two distinct advantages over traditional web sites. First, most web sites are made of static web pages that are created by a web designer that knows how to create some graphics and put them up on the Internet. Anytime you need a change (which, in an effective web site, should be often) you have to go back to the designer and pay to have your web site updated. RoutePoint comes with software that lets you create web pages just like you would add a service or a customer in your accounting system. You can even upload pictures or images without any knowledge of web page design. To get the most out of your web site design we have a couple of live, web-based training classes that will take you through the software step-by-step. So you have a web site that is truly self-maintainable. You can change any page at any time and choose from a variety of pre-designed templates and color combinations that come with the software.

The second and most important advantage over traditional web sites is that it is totally integrated with your accounting software. That means that if you get a lead from your web site, it comes directly into RoutePoint so your customer service representatives can easily follow up and process it in a timely manner. You can also give an individual customer a user name and password to log on to a special area of the web site that lets them have access to their data. You can selectively give them up to eight different options to choose from including view account history, view open invoices, pay their bill with optional automatic online credit card verification, ask a question, schedule a service, and more.

  23. What if I want to use the RoutePoint web site but don't want to maintain it myself?

  24. That's fine. We have some of the most talented and knowledgeable web designers available to design and maintain your web site for you. You will still be able to access to make changes on your own if you want to.

  25. Can I give my customers access to their account information through my web site?

  26. Yes. You can give an individual customer a user name and password to log on to a special area of the web site that lets them have access to their data. You can selectively give them up to eight different options to choose from including view account history, view open invoices, pay their bill with optional automatic online credit card verification, ask a question, schedule a service, and more.

  27. I am not ready to switch my accounting software. Can I just get the self-maintainable web site software?

  28. Yes. The self-maintainable web site is available as a stand-alone option on a subscription basis. The price includes hosting and is available for about the price that you would pay other companies just to host your web site.

  29. How does the Integrated GPS Vehicle Tracking in RoutePoint work?

  30. No other enterprise office management software has GPS-powered (Global Positioning System) vehicle tracking tightly integrated into the software. For as little as $20 per month per vehicle you can have the capability of viewing a map that shows the location of each technician in relation to a particular address. For example, while you are on the phone with a customer you can view a map that shows the proximity and exact mileage of each technician in relation to that customer's house or business.

You can print a map that shows any technician's route for the day complete with a description and duration of each stop the technician made that day.

The most powerful and widely used feature is the Technician Status Screen. This feature shows a snapshot of all your technicians on one screen. Depending where they are at the time you view this screen, each technician is placed in one of four columns - technician at home, scheduled stop, in transit, and at office. Finally there is a powerful reporting feature that lets you look at the location history of any vehicle in your fleet. You can run a report that shows which vehicle was traveling over a certain speed during the month and which street they were on at the time of that speed.

  31. Are handheld units available for RoutePoint?

  32. Yes. With RoutePoint Mobile, you can take the program with you. Download your work for the day, week, or month onto your handheld Pocket PC. You can record your time in and out, record material usage, post work as complete, capture a customer signature, and record money collected. The station tracking module lets you scan bar-coded stations to quickly record activity and answer questions about the stations.

  33. Can RoutePoint help optimize a route?

  34. Yes. In addition to printing summary route sheets and route maps complete with driving directions for technicians, you can use the route optimization features in the software to plan the best route for a day, week, or a full month of scheduled service orders. The mapping feature can also be used to create pinpoint maps for a selection of customer accounts.

  35. I understand that RoutePoint keeps track of sales and production on a dollar per hour basis. Can you explain what this means and how it works?

  36. The dollar per hour tracking capability may be the single most important advantage of using RoutePoint over every other software package in our industry. By simply entering the time in and time out or the total time spent on a job (your choice), RoutePoint will track the profitability and productivity of every customer and every technician. That means, at any time, you can instantly see how profitable a customer account is on a dollar per hour basis for the overall account and by each service. You can even calculate profitability within any date range at the click of the mouse. This figure appears on the price increase report to help determine which customer accounts should be raised based on how much money you are making on the account on a dollar per hour basis as compared to other accounts.

The same time information is also used to determine how productive technicians are on a dollar per hour basis. You can even run a report that shows technicians ranked in order of what they are producing on a dollar per hour basis. As with all RoutePoint reports, it can be run for any date range and can be sorted and subtotaled by branch.

  37. How does the nation-wide database that is available with RoutePoint help when adding a customer?

  38. By simply entering a street address and a zip code, RoutePoint will automatically fill in the city, state, county, zip+4, longitude and latitude. You can further customize the database by having it automatically fill in the proper tax code and map code. This results in timesavings and accurate data.

  39. Can I store pictures and diagrams with my customer accounts?

  40. Yes. You can easily attach any file on your PC (including digital pictures, scanned pictures and diagrams, word processing files, etc.) to a particular customer account. You can then open them at any time to view or print with the click of the mouse. You can even designate which images you would like to automatically print as an attachment to service orders.

  41. Can I export my sales and accounts receivable data to QuickBooks or any other external accounting package?

  42. Yes. There is a general ledger feature that lets you export sales, accounts receivable, sales tax, and payment receipts information to QuickBooks and other accounting packages.

  43. Are there any customizable fields for customer information?

  44. Yes. There are twelve user-defined fields available. You can label and select the right data type (free text, pick list and check box) for each of the fields.

  45. Can RoutePoint handle batch posting?

  46. Yes. RoutePoint was designed with the most powerful and flexible batch posting features available. You can choose to run the system with either immediate or batch posting. Once the batch-posting feature has been turned on in the system setup, you can decide which fields are available for update when posting. The posted orders are then available for review prior to committing the work as complete.

  47. I understand that RoutePoint comes with customizable on-line help. How does it work?

  48. No other software in the industry comes with a more complete and functional online help system. Click on the help button anytime you need help on a particular screen. The help system knows exactly which help screen to display. There is also an alphabetical index, a table of contents, and a powerful search option to instantly find the help you need at anytime. Top this all off with a feature found only in RoutePoint that lets you maintain your own customized help in addition to the RoutePoint help for each screen. You can use this feature for instructions that are unique to the way your company uses RoutePoint. You can also use this feature to create telephone scripts and internal documents for your company.

  49. Is RoutePoint easy to learn?

  50. Yes. Marathon Data Systems, LLC. has a long-standing reputation for designing software that is powerful and feature-rich yet easy to use. The combination of sharp, uncluttered screens combined with context-sensitive online help makes RoutePoint a winner with both new and experienced users. And now with RoutePoint you can create your own custom online help for any screen in the system to make it easy to train your staff and have a handy reference for every operation in the system.

  51. Is training available?

  52. Yes. While we have always offered training at both our office and at customer locations, we are pleased to introduce our new live web-based training. This training is very affordably priced and can be enjoyed from the comfort of your office or home. We will point you to our training web site address and you sit back and watch as one of our professional instructors takes you through the details of learning to use RoutePoint.

  53. Can I send letters with RoutePoint?

  54. Yes. RoutePoint comes with the most easy to use and flexible letter and post card system in the industry. You can choose from different fonts, font sizes, colors, and bold or italics formatting. There are features to indent, center and justify. Any letter can be either emailed or printed for traditional mailing. The system automatically puts the name, address, date and salutation on the letter for your convenience. All letters can be easily sent individually or in batch.

  55. Does RoutePoint come with a variety of reports?

  56. Every report in RoutePoint comes with a selection screen that creates dozens of options for each report. All reports can be displayed, printed or emailed and run for any date range and sorted and subtotaled by dozens of combinations. With the proper access rights, the data is easily readable by any Microsoft product such as Word or Excel. Since we use Microsoft SQL Server as the database, you can also use a high-end third party report writer such as Crystal Reports to create additional reports.

  57. Does RoutePoint support bar-coded forms?

  58. Yes. Bar-coded forms are simple to use and can be a big time-saver and greatly reduce errors during data entry. Just contact one of our friendly customer support representatives for more information.

  59. How is commission handled with RoutePoint?

  60. Because each company has its own way of paying commissions, we have designed RoutePoint from the ground up to have the most flexible commission system in the industry. You can pay commission for up to five people on a job, in up to five different roles (such as salesperson, technician, telemarketer, etc) based on either when the service is performed or when payment is made. Commission structures can be set up as simple percentages or a sliding scale percentage, based on the number of times serviced or total dollar amount. You can even pay the same person different commission rates on the same job if they served as both the technician and the salesperson. Commission can also be set for individual types of services being performed.

  61. Does RoutePoint handle contract renewals?

  62. Yes. RoutePoint has the most powerful and flexible features in the industry to handle contract renewals. While it is typically done on a monthly basis, you select how often you want to send out renewals. Once renewals have been sent out for a month, you can resend them again as often as you want and only those that have not renewed will get another renewal (you often get a better response the second time a renewal notice is sent.) You can even generate a list at any time to follow up with a phone call to those that have not renewed (an even better way to increase your response rate.)

When a renewal prepayment is received, you can have the system automatically create an invoice, service order, or production order to bill and inspect the account.

  63. Can I set up more than one service or renewal for an account?

  64. Yes. You can set up an unlimited number of service setups and renewals for each account. When you view a customer account, you instantly see all of the service setups, renewals, and any outstanding service orders for that account.

  65. Is the scheduling flexible?

  66. Yes. RoutePoint lets you create literally any schedule, no matter how irregular, for each account. You can even select a regular schedule for a customer and then check off months that you would like to skip for that customer.

  67. Does RoutePoint have point and click scheduling to schedule and move appointments?

  68. Yes. The graphic scheduler comes complete with color-coded appointments and point and click capabilities to make scheduling and rescheduling fast and easy.
